mobility.Primary Responsibilities:The File Manager is responsible
for working in concert with a Relationship Manager to collect all
necessary documents from clients that are needed to underwrite,
approve and fund a loan. It is a position that requires excellent
communication skills with a focus on creating a positive customer
experience throughout the loan process, as it serves as a key
contact for all clients and internal production staff members.
Candidates must be highly organized and comfortable working with
large quantities of files, financial documents and confidential
information. Additionally, candidates must be savvy in working with
customers that may be difficult, frustrated or declined as well as
happy and cooperative customers. This role requires professionals
that are goal oriented; driven by nature; ability to work well on
teams; and extremely self-motivated to keep loan files moving
forward in the loan production process with minimal lag time. Ideal
candidates are solution oriented thinkers and agile by nature for a
continually evolving work environment. Compensation is based on
salary and incentive for loan approval and loan fundings. General
duties for a File Manager are noted below.
- Review preliminary loan application content upon loan file
assignment and input applicable data into Ventures+ loan management
software in order to prepare a Client Checklist and applicable loan
application forms based on the loan product and financing needs.
Including verifying entity status and name when applicable against
online state/county records.
- Provide the Client Checklist to the prospective small business
borrower(s) and provide assistance as needed as to the requested
documents.
- Ensure that all Ventures+ Loan Log dates are appropriately
entered at all times.
- Upon receipt of Client Checklist documents, thoroughly review
for accuracy and ensure all requested items are received and
communicate with administrative support staff to ensure all
documents are uploaded into the Ventures+ Document Store.
Communicate with the prospective small business borrower(s) for any
missing or incomplete documents in a timely fashion. If documents
supplied raise questions or concerns as to the eligibility or
credit of the loan, the File Manager should discuss with the
Relationship Manager and work together towards a solution when
possible. Secure appropriate SBA eligibility clearances as needed
based on review of documents.
- At the time of internal loan approval, review the loan approval
and corresponding approval conditions to help inform as to the
appropriate closing conditions that will need to be set for the
loan by the File Manager in the Ventures+ loan management
software.
- Prepare Commitment Letter and preliminary loan closing Client
Checklist and provide to the borrower.
- Once all documents are received that are required for
submission of the loan application to the U.S. Small Business
Administration or the appropriate state agency for final approval,
File Manager to electronically submit the loan application
accordingly and monitor for receipt of final loan approval.
- Upon receipt of final loan approval, prepare the final closing
Client Checklist to include all outstanding documents required for
closing and funding the loan. File Manager to diligently work with
the prospective small business borrower(s) to satisfy all loan
closing conditions in a timely manner, ensuring all documentation
to support collateral requirements for closing are received.
- File Uniform Commercial Code (UCC), purchase money/fixture
filings as applicable and request for pre-assignment of loan files
to the funding team that involve tenant improvements, escrow and
title, or Department of Motor Vehicle (DMV) due diligence.
- Participate in weekly pipeline calls for progress of all loan
files assigned; the File Manager is responsible for consistently
following up with clients to inspire them to respond promptly and
keep the loan application proceeding through the loan process with
the goal of providing clear direction and expectations with the
prospective small business borrower(s) at all times and in all
interactions, communicating with the customer experience being of
utmost importance.
- Coordinate with vendors when appropriate for things such as
collection of insurance documentation and ordering of business
valuations, appraisals or environmental reports.
- Regularly communicate with the assigned Relationship Manager
regarding the status of each loan file and engage with them as
needed if borrowers are not responsive to requests for
documentation.
- Ensure that Ventures+ loan management software is accurate and
up to date throughout the entire loan application process including
documenting borrower conversations in the Notes section.
- Audit the loan file using the File Manager Audit Checklist to
ensure accuracy and completion of loan file before final assignment
to the funding team for closing and funding of the loan. Ensure
that the administrative support team has been instructed for final
upload of any remaining loan file documents.Minimum Qualifications:
- Minimum 2 years of experience in loan processing or related
capacity, preferably including experience working with financial
and legal records.
- General knowledge of commercial or small business lending.
- Proficiency with MS Office applications.
- Experience working with DocuSign is a plus.
- General computer knowledge and navigation skills.
- Ability to prioritize, effectively manage workload for multiple
loan products in order to meet annual goals and objectives, remain
organized and maintain confidential information with
professionalism and the customer experience being exemplified.The
Hourly rate for this position is $25.27- $31.58 and is eligible for
an annual incentive.This role is remote and is commission-based.All
